Dear OKM Europe Trip Band Parents
Thank you for your continued patience as we wait for Manulife to process our insurance claim. We have been contacting them regularly without much in the way of any concrete update. However, we've been able to learn from them in the last two days that:
1. All the correct paperwork was received from parents by the end of May and the claims process then was initiated. It is estimated that the claims process could take from 60-90 days. This could mean the beginning of September 2020 or earlier.
2. We will continue to press the insurer for a more accurate status report and timeline. We keep being reminded by them of the incredibly large number of claims and how this is impacting timelines.
3. We have set up a process so that if a refund is received during the summer we'll be able to process refunds to parents right away.
4. The extra Band Parent fundraising that was done by some students to support the trip costs, can now be refunded, and these refunds will be processed in the next week. You will receive a payment equal to the amount that was recorded in the fundraising account for your child, including the latest Purdy's campaign. For details, please see the "November 21 updates" details posted on the OKM Music website.
We appreciate that this situation is frustrating. Thank you for your continued support. We will update you as soon as we have additional information to share.

June 18 Update: Assessment and Grades for "Music in Cultural Studies" course during Covid-19
Most students who had registered for the tour were also enrolled in "Music & Cultural Studies 11", which strengthened the academic and learning rigour of the tour, benefiting students with deeper cultural inquiry, social connections, and learning about music's power to transcend and improve the human experience.
The original curricular design for yearlong learning in Music & Cultural Studies included preparing our music to bring into "placed based" cultural/musical inquiries, with travel, performances, and cultural exchanges in Austria, Croatia, Bosnia, and Italy. Due to Covid-19 and cancellation of travel, for students who will not be taking this course in the future, in accordance with the B.C. Ministry of Education directives, the work completed to prepare music until Spring Break will be assessed, and forwarded towards a final standing and grade in the course. These students would include our Grade 12's, and students not continuing in Band next year.
Although the future is most certainly uncertain, we appreciate that most of the original Music in Cultural Studies students have decided to keep their options open: by being open to trying "something" again, and staying in the MCS11 course for next year. This means they had to be withdrawn this year, with nothing showing on transcripts. We remain open to ensuring all students will have a fair, healthy, and meaningful experience with MCS11 next year, regardless of travel.

The Manulife Claims Examiner is still retrieving data and working directly with our admin team for best diligence and propriety. Unfortunately, it continues to move at a snail's pace as their volume of claims is understandably daunting.
Regarding nervousness from news stories - we can assure OKM parents that from the outset, our OKM Senior Band tour purchased the best insurance policy available, and we've continued to satisfy all of the criteria as required by the Manulife policy to provide a cash refund to our parents.
Our admin continues to ask for information and a timeline from Manulife, and we will post all updates as soon as we have them. It's been almost 3 months, so hopefully it comes soon!

FINAL 3 STAGES: PREPARING TO TRAVEL
The music is starting to sound incredible - please ensure your son/daughter keeps practicing to build "their chops". We are very excited for all upcoming performances!
COMMUNICATION: Moving to students:
We are 30 days from departure, and as always, "there's a plan", and the cornerstone is Communication, and students have ownership. Now that 100% of 105 students have successfully registered for the "Europe Tour Google Classroom" and after 2 weeks of work, all have successfully replied to a test question (100% of students have confirmed they are bringing "wifi" phones):
Tour planning will now start gradually moving AWAY from teachers and/or parents, and TOWARDS the students.
To that end, we have a 3 Stage plan that is designed to both communicate the many final preparations to help everybody get ready, and, by only using the same communication that will be used during tour, it's also a test of the actual Europe Tour systems, to be sure we hit the ground running!

- Full assurance: Although STAGE 1 is BOTH for communicating tour preparations and a test of students' performance - we will make sure everybody's ready to go - same as always, with traditional means, such as the Feb 26 meeting.
- All of the TOPICS will be emailed to parents, on the date the information will be pushed to students' phones - and parents can see all the DETAILS when their son/daughters can show them, on their phones (it will all be online).
- For example: Today, students received a detailed list and an assignment around the TOPIC: PACKING FOR EUROPE TOUR. We posted it all into their Google Classroom, and each student has a copy. They can forward to you many different ways (print, email, AirDrop, share link, or show you their phone). When they open the app, and click the link, and parents will see:
- Maximum size of checked luggage for OKM tours
- Air Canada links to support planning/packing
- What to bring to the February 26 meeting
- Carry-ons: instruments in, out? What to pack
- Instrument transport plans
- Vancouver airport chaperone guidance systems.
- March 7-10 packing plans
- Packing list, currency notes). Please ask them to show you the details.
- If parents need more support, and can't help their son/daughter with the tech, please let us know, and we'll have chaperones connect with your son/daughters to fix the missing parts. We've also found that students are the best at helping each other with any tech issues.
- There is a slight change to the November posted "TRAVEL TRAINING & PREP MEETING AGENDA" (see agenda below)
- Instead of entering on time to be seated in rows, we will give instructions via group text in Remind, OR, Google Classroom Europe
- Everything from STAGE 1 will be reviewed.
- We tweak all of the above, learn, and adjust, and we all work together to make sure our highest priority for OKM music is fulfilled: all students feels supported, safe, ready, and excited to tour and perform.

- These apps will help us with guiding and communicating with students during the tour, as most places have WiFi. Students who will not have phones can get updates from other students (students are NEVER alone...during free time, they're in minimum groups of 3), PLUS, we also inform students during all room checks, and tour gathering, so students without phones will be fine as long as they pay attention...just like always.
On Monday, students were advised as follows, to prepare for the Wednesday Lunch official Group Photo:
- Wear black/dark pants, especially flutes/clarinets, who will be in the first row.
- Tour jackets will be distributed for the photo. The photo will mostly show only jackets.
- Tops should be light, but don't have to be formal, because the jackets do the trick.
- Students will be lined up into 6 rows in the Dance Room, with instruments, and we'll go to the OKM Theatre for the photo.
- Afterwards, students will take jackets home and store them away until we travel, on March 8.
- The hi-res photo will be sent to Croatia for printers to use in promotional posters for our concerts.
Learning Music/Practice!
- We are super-sizing our rehearsals to prepare all students for peak performance levels by March 18.
- We only have 15 rehearsals left.
- Students have specific homework to learn all music "note perfect" by Friday.
- Directors expect those who are struggling to have plans in place for support and healthy work (one band, one sound!)

Further, the online posts becomes everybody's documentation of tour management, expectations, planning, and performance.

November 25 Updates
Everything is ready for final payments, due by Friday, November 29, 2019.
After reviewing the notes below, (copy/pasted from the tour FAQ page) please go to your Mariden log to make the final payment by INTERAC.
Mariden FINAL Payment Options:
Everything is ready for final payments, due by Friday, November 29, 2019.
- Mariden confirms that the final payment amount that is posted in your online Mariden log is the same as is itemized on your OKM invoice (includes any Band Fundraising funds, merchant fees if payments were made by credit, etc.).
- OKM will send home these 105 itemized individual invoices during class on Tuesday afternoon, November 26. If your son/daughter doesn't bring your invoice home, please note the payment is still due by November 29. OKM created these invoices to better communicate and itemize your payment history, including any credit card (merchant fees), and Band Fundraising credits.
After reviewing the notes below, (copy/pasted from the tour FAQ page) please go to your Mariden log to make the final payment by INTERAC.
Mariden FINAL Payment Options:
- INTERAC payment: To send payment by Interac, use this email address: [email protected] , and please put the followinginformation in the message box: -Name of the student/traveller - Name of the school or organization (OKM)
- Payments by Credit Card via PAYPAL (VISA or MasterCard): the payer must add 4.5% merchant fee to the FINAL BALANCE OWING. For example, if the final payment owing is $500, you would have add $22.50 merchant fee (500x1.045=522.50)
- Late payment fee: Please be informed that any payment received to our office after the date of payment (November 29, 2019, 5PM MT, is subject to $150 late payment fee per person.
- If Mariden office does not receive the payment 3 weeks after the payment deadline, traveller name will be deleted from travelers and insurance list.
- If final payment is not received 15 days after your payment deadline, Mariden will remove your name from the group list and cancel your flight reservation.
- By using INTERAC, Mariden will receive an email saying that the particular person sent money to us. In the meantime, the parents/students will receive an email saying that the money that they sent to Mariden International has been accepted
November 21 Updates
Further to the massed blind-copied email sent to all Europe Tour parents today, here are the details:
FINAL PAYMENT INVOICES: Due to minor issues on the Mariden Login site, OKM will NOT be sending home invoices tomorrow (November 22). Details:
Europe Tour Hotel Room Booking: In travel, the best experiences are BECAUSE we move out of our comfort zones! We are making a FIRST DRAFT of the hotel rooms. It can be tweaked for the next week, giving you plenty of time to have healthy communication, be kind, make compromises (life’s not perfect!), support each other, and/or connect with your teachers.
Our Challenge: Hotel bookings for this massive tour: 672 beds, at 6 hotels, the ferry, and into groupings of either 4, 3, or 2, by Male or Female (as required by Croatian Hotels at this time). Student passport data and Date of Birth and rooming lists are sent to the 6 Hotel Managers in Croatia. Each hotel has different groupings of Quad, Triple, and/or Double rooms. Quads are mostly for the overnight Ferry from Croatia to Italy, and will be split into two Double Room groupings for some hotels. We are working to help everyone become “all good”, but everybody needs to be flexible (“hold it lightly”). If we’re asked to make any changes, it is extremely difficult. FINAL PAYMENT INVOICES: Due to minor issues on the Mariden Login site, OKM will NOT be sending home invoices tomorrow (November 22). Details:
- Please continue to WAIT until OKM notifies you things are ready before you make your payment.
- OKM printed 105 invoices on November 18 for parents, each itemizing your Band Fundraising credits, or perhaps merchant fees if any.
- Before giving to students as planned on Nov 22, we double-checked with the Mariden Online accounts, and it's off by a few dollars on some types of accounts where the merchant fees (credit card payments) were to be applied. It appears to be only a small error in data entry, which is good to know. However, because we all want 100% accuracy in accounting, with itemized invoices, clear communication, and smooth technology before we move towards final payments, Mariden agreed that we need to "hold the horses" until we're all certain that it's perfect.
- Plan B: we hope to send the OKM generated invoices home by next Tuesday, November 26, which still gives lots of time to make your Nov 29 payment to Mariden.
- Mariden has given assurance that if needed, they are prepared to delay their final payment schedule to support this shared goal of clarity and accuracy.
- Many thanks to the Band Parent Planners for sending another 2 fundraisers home this week!: Save-On and T-Bones Gift Certificates, with up to 8% profit. Information sheets were handed out in class. Please have your son/daughter get theirs tomorrow, if needed. Because Grade 12 grads are also doing Save-On, we encourage (nudge) those students towards support their grad class, but we also understand that whenever there is overlap, it comes down to student/parent choice.

- All fundraising earned between November 15 and late May, 2020, can be applied to this March tour, as OKM will cut cheques to students for funds earned up to the cost of the tour. - We are finalizing arrangements to bring OKM Christmas and season music in our traditional "Red Book" gig format, on Saturday, December 7, with the Kelowna Croatia Club Christmas Celebration, at the Westbank Lions Community Centre. We'll bus students to the event, perform music, enjoy dinner with our hosts, and see if playing "Hear Comes Santa Claus" encourages the real St. Nick to make an appearance for the Croatian kids! We'll also learn about some of the cultural connections.
- We've booked this for the 40 students who said they could make it, and Parent Field Trip permission forms will go out soon
- Thanks to OKM's very own Mr. Pavlic for helping set up this wonderful cultural learning!
- We have started the process of inviting students to share their rooming preferences for quad, triple, and/or double rooming.
- We understand many students are nervous about the hotels, and trying to be comfortable in their settings, while inviting others, and being invited, to be roommates.
- We have guided the students with many spoken assurances, and handed out the following message on the sign up lists:
Europe Tour Hotel Room Booking: In travel, the best experiences are BECAUSE we move out of our comfort zones! We are making a FIRST DRAFT of the hotel rooms. It can be tweaked for the next week, giving you plenty of time to have healthy communication, be kind, make compromises (life’s not perfect!), support each other, and/or connect with your teachers.
Our Challenge: Hotel bookings for this massive tour: 672 beds, at 6 hotels, the ferry, and into groupings of either 4, 3, or 2, by Male or Female (as required by Croatian Hotels at this time). Student passport data and Date of Birth and rooming lists are sent to the 6 Hotel Managers in Croatia. Each hotel has different groupings of Quad, Triple, and/or Double rooms. Quads are mostly for the overnight Ferry from Croatia to Italy, and will be split into two Double Room groupings for some hotels. We are working to help everyone become “all good”, but everybody needs to be flexible (“hold it lightly”). If we’re asked to make any changes, it is extremely difficult. - Thanks to 3 Fundraising Planners, who are choosing fundraisers out of the dozens of great suggestions from the 40 or so parents who attended.
- Fundraising All Year: Any Band Parent fundraising $ earned between now and May, 2020, will be applied retroactively to this tour - OKM will cut you a cheque for amounts up to the cost of the tour in June.
- Fundraising Campaigns will run from now until late May, and the Planners will contact the "Workers/Helpers" as needed. We will keep you posted via this website and/or group emails.
- PASSPORTS: We still have a dozen or so travelers who have not yet posted the required Passport Data into their Mariden Online Log.

- Purdy's is now on - your son/daughter should have picked up their brochures and personal letter this past week. Last year, we sold around $60,000 of product.
- TOUR UPDATES: We have 105 students touring. Instead of flying out of Kelowna, we have chartered busses to Richmond, overnight hotel, so we are certain to catch our flight out of Vancouver. Tour now starts in Salzburg, and ends in Rome. While in Rome, students will have the OPTION to tour the Vatican Museum (tickets are reasonable...10 Euros or so).
- PREPARATION FOR FINAL PAYMENT: DUE TO MARIDEN BY Nov. 29, 2019.
- PLEASE refer to the TERMS AND CONDITIONS posted in your Mariden Online Log, which includes the following: Any merchant fees you may have incurred if you made previous payments by credit cards are applied during final payment. Not included: rent of the music instruments, lunches and "any new or higher taxes/fees added in Croatia/Italy which were not known at time of pricing." ONLY INTERAC will be accepted for final payment
- BUDGET: We are striving to keep the final tour price at $4250, and we are very close - but instead of cutting some incredible opportunities out the tour, we will probably come in around $50 more. Further, the local taxes/instrument fees mentioned above, could be another 50. The final price largely depends on how many instruments we are able to borrow, as rental fees are very expensive.
- INVOICES: On Nov. 22: OKM will send 105 invoices home to all parents, showing:
- OKM Band Parent Fundraising credits (as of November, 8, 2019), for both the INDIVIDUAL credits (for example, all the Purdy's your son/daughter sold), AND the "Group Credits" (for example, Band Parents raised about $500 at our Spring Concert from 50/50 and VIP Seat Sales, so each student will be credited about $5.

- Breakdown of all Fees (for the added higher taxes/fees/instrument rentals mentioned above)
- Final amount owing (this will be the same figure you will see in their Mariden online log).
NOTES FROM MARIDEN:
- Mariden will charge a late payment fee of $150 for all payments submitted past the payment deadline.
- Travellers who fail to submit payment more than 15 days after the deadline will be removed from the list and cancelation rules will apply.
- There are still travellers who have not submitted their date of birth and their passport number in their Travel Log. Please be advised that:
-without the date of birth we cannot issue travel insurance for this person.
-without the passport number we cannot print the flight ticket.
-if just one traveller does not have a passport number, it blocks ticketing of the whole group.
- If any traveler fail to submit their passport number and date of birth, we will have to go ahead with group ticketing without those individuals. These individuals then face potential loss of their seat
- Seven days after your final payment, Mariden will close your log, and no changes will be possible.
- Names of travellers should be written in the log EXACTLY as they appear in your passport. Mariden will then re-send the same list to the airlines.
- Any changes required due to misspelled names will result in airline imposed fees, and the fee will have to be paid by the travellers.

September 17 Updates:
- Music: We have connected with the Zagreb Music Academy, and they have kindly provided music for the Croatian National Anthem.
- We have 2 concerts tentatively booked to perform at Kelowna Croatian Club events: their Christmas celebration in West Kelowna, and their annual Mother's Day picnic at Sarsons in May. Details TBA.
- Flights out of Kelowna were no longer practical, so we're chartering busses on March 8, to stay overnight Vancouver airport hotel. From past experience on previous tours - it's been very stressful to leave OKM by bus to make our international flight on the same day. Since any delay could cause us to miss our flight, we'd budget 1 hour at OKM to load the bus, 5 hours for trip to Richmond, 3 hours in the airport, and 1 hour of buffer time = 10 hours to make our flight. Now, we can travel to Vancouver and settle in the hotel and safely make our flights the next morning.
- We are now landing in Munich, Germany, and travelling to Salzburg, Austria (Sound of Music & Mozart tour), and ending in Rome.
- We cannot post the timed itinerary online. A password protected link to the Europe Tour itinerary was emailed to all parents on September 17.

- June 5 Concerts: Launching Fundraising: Several of the OKM Europe Tour Fundraising Planners have met and planned some fundraisers that will be launched at the June 5 Concert, including the VIP Concert Parking/Seating Auction. Bid now to support the Europe Tour!
- Registering new students: Several students have recently expressed that while they understand they missed the strict Europe Tour registration deadlines, they now want to sign up for the tour. We will do everything we can to make this happen, but cannot promise anything because there are big challenges whenever our agents add flights, hotels, etc, to this already massive tour. We will do our best, but can only put new students on a waiting list at this time. We ask that parents email Mr. Schnellert if their son/daughter would like to be put on the waiting list.
- If any students who signed up yet now want to withdraw, the good news is we can transfer your payments to the new students...please let us know ASAP if you intentions change.
- Mario, from Mariden Tours, has travelled to Croatia and personally met with our concert hosts to start planning our performances, including borrowing the big instruments, and collaborating on musical projects.
- Tour Jackets: We have sampler jackets for sizing. Students will try on a jacket and order their size between May 30 - June 14. We want to have the custom embroidered jackets ready for September so we can take great promotional photos that our hosts will require as they create posters to advertise the OKM Senior Band concerts in Croatia.

- Airlines have changed their usual flights, and some won't post new schedules until the fall...yet we want to be sure all 112 OKM travellers are booked...Departures from Kelowna for our huge group have become a challenge. We are now looking into departures from Vancouver with an overnight in Richmond to be sure we don't miss our flight due to unforeseen delays on the Coquihalla and/or traffic issues. At this point, it is likely that the Austria portion of the tour will focus on Salzburg instead of Vienna. Both are phenomenal destinations for students. It's the flights IN that are directing this. Instead of starting in Rome, we might start in Austria. We'll keep you posted - this is a normal part of setting up the complex dominos of travel for this large group.
- Croatia Concerts: Orlando Statue, place of Dubrovnik Summer Music Games; Medjugorje with Croatian students; Zagreb Music Academy concert in Bersa Music Hall, together with Croatian band or choir;
- Croatia Kelowna Christmas Concert 2019: We have tentatively booked a performance and cultural exchange with the Kelowna Croatian Club. OKM Students will perform our traditional "Red Book" songs and other selections, while celebrating the season with people with Croatian cultural heritage who live in the Okanagan. - The delay in setting up your payments for March 1 was caused by unexpected last minute matters at OKM that took a week to sort through.
- During this OKM delay, we appreciate that Mariden supported us by having moved this deadline to give us the time we needed. We apologize for any inconveniences this may have caused.
- Now that the delay has cleared, it is URGENT that you make your first deposit to ensure YOUR flight is reserved, etc.

- 18 students are late handing in the Parent Consent and/or Behaviour forms, which were all due on Tuesday. If you believe you handed your paperwork in, please wait a few days, and I will send confirmations to everybody
- We understand that inviting Grade 9-11 high school students to tour Europe for almost 1/2 month is certainly out of the ordinary. As each student and their family took up the challenge to consider whether or not this tour would be a good fit, some may have found it easy to make the decision to go or not, while for others, it may have been very difficult For everyone involved, please be assured that OKM music's highest priority is to continue with our values and goals; : to work as a team to learn together, and to play our music always from the best place of gratitude, where we listen, share or ideas and support each other - which is exactly what a band does, through music.

- We are working to finalize the student list, as per our Registration steps, and as soon as we have the confirmations we need, we will create online accounts for all parents with Mariden, and arrange for your first deposit to be made. Our goal is to have this done on Monday, March 4, and set up your accounts to make the payments ASAP. We will keep you posted and send individual emails to each person who completed the full Registration process, connecting you with Mariden.
- For future communications, we will be switching to the REMIND communication system, which can send text reminders to MOST phones, except Rogers, Bell, and their subsidiaries, or you can program it to send you an email.

- STEP 2: (due Feb 26) Declare Intent: As soon as you're "practically certain" your son/daughter(s) will participate, fill out the online Declare Intent Europe 2020 NOTE: This is now closed as the deadline has passed. This will give us a more accurate number of participants, so we can hold our our flights and ensure our budget is solid. We also use the emails given in Step 2 to guide everybody through all 7 steps.
- STEP 3: (due Feb 26) Support Band Parent Fundraising: Complete the "Parent One Thing Volunteer" form to help support all students with team fundraising.
- STEP 4: (due Feb 26) Register with REMIND communication system. Note: this might be clunky because Remind changed some things....you might have to download the app. We'll figure this out with our students in class, so don't worry too much about this.
